Guide: Customizing Screening Submission Record Page Layouts in Salesforce

This guide provides the recommended structure for configuring Screening Submission record pages. All sections should be configured in a two-column layout for consistency. Each section lists standard fields that should always be included, and notes where fields or sections are optional / client-dependent.


1. Screening Submission Detail

Purpose: Core identifiers and metadata about the submission.

Layout (Two Columns)

  • Left Side:
    • Screening Submission Name
    • Parent Screening Submission
    • Contact
    • Attestation Checkbox
  • Right Side:
    • Record Type
    • Campaign
    • Program
    • Staff Entry

📌 Always place this section at the top of the record page.


2. Preferences (optional; client-dependent)

Purpose: Capture client-specific preference claims.

Fields (only if required by client):

  • Bedroom Size Preference
  • Income Level Preference

📌 Remove this section if the client does not use preferences.


3. Physical Address

Purpose: Store the applicant’s address in a standardized format for eligibility checks and reporting.

Layout (Two Columns)

  • Left Side:
    • Street Address
    • City
  • Right Side:
    • State
    • Zip Code
    • County
    • Geolocation

📌 Remove this section if the organization does not use address fields.


4. Eligibility

Purpose: Capture whether the submission meets baseline eligibility.

Layout (Two Columns)

  • Left Side:
    • Eligibility Checkbox
  • Right Side:
    • Ineligibility Message (reason if not eligible)

5. Criteria

Purpose: Display program qualification requirements alongside the applicant’s submitted details.

Standard Criteria

Include only the criteria fields that the organization uses. Remove unused fields from the layout.

  • Household Size
  • Combined Annual Income
  • Total Assets
  • Total Debt

Layout Guidance (Two Columns)

  • Left Side: Criteria Limits (Program Requirements)
  • Right Side: Prospect Details (Applicant Data)
  • Align fields row-by-row for easy comparison.

Custom Criteria (add only if required by client)

Examples include:

  • Primary Residence Requirement
  • First-Time Homeowner Status
  • City/County Residency Requirement
  • Student Status
  • Employment / Work Location

6. Needs & Reach (organization-dependent)

Purpose: Capture applicant demographics, organizational ties, and outreach source.

Layout (Two Columns)

  • Left Side:
    • Demographic Information (per client policy)
    • Affiliate / Relation to Organization
  • Right Side:
    • Areas of Interest
    • Lead Source

📌 Configure based on organizational needs. Remove if not used.


7. Contact Verification

Purpose: Capture applicant’s contact details alongside verification status.

Layout (Two Columns)

  • Left Side (Applicant Info):
    • First Name
    • Last Name
    • Email
    • Phone
  • Right Side (Verification):
    • Email Verification (checkbox/status)
    • Email Verified On (date)

📌 Align fields left vs. right to allow staff to see contact details and verification status at a glance.


8. System Information

Purpose: Capture technical and system-generated details about the submission.

Layout (Two Columns)

  • Left Side:
    • Device Type (Mobile / Desktop)
    • Operating System
  • Right Side:
    • Created Date
    • Last Modified Date

Global Layout Notes

  • No Tabs: Do not use tabbed layouts. Keep all sections visible in a single scrollable page.
  • Right-Side Related Lists: Place these consistently on the right side of the record page:
    • Activity (Tasks, Events, Emails)
    • Screening Submissions (related records, if applicable)
    • Field Tracking History (audit trail of changes)
