The Resident Portal extends Public House beyond the initial application β giving you a way to stay connected with residents after they're housed. The foundation is an annual survey that lets you gather updated information, collect required documents, and keep records current without manual outreach.
This implementation is focused on getting that annual survey workflow configured and ready to run.
Your Role in the Process
1. Review the Onboarding Document
Before your setup session, Public House will share a document outlining the annual survey configuration. Review it and highlight any changes you'd like to make in yellow so they're easy to find during the review session.
This includes:
- Survey questions
- Required documents
- Notification and communication preferences
2. Setup Session
You'll meet with your Public House contact to walk through your highlighted changes. This is the time to confirm the survey structure, discuss any conditional logic or document requirements, and finalize the direction before build begins.
3. Required Documents
If your annual survey includes required documents, you'll provide details for each:
- Title β what the document is called, as residents will see it
- Section β where in the survey it should appear
- Condition β if it should only display in certain situations (leave blank if it always shows)
Public House builds the document templates. You then fill in:
- Description β what the document is and why residents need to submit it
- "I don't have it" instructions β what residents should do if they can't provide it
- Staff instructions β internal guidance for staff reviewing submissions
4. Communication Templates
Your Resident Portal setup includes notification and communication template configuration. Review the default templates and let your Public House contact know if any language needs to be updated for your organization.
5. Test the Survey
Once everything is configured, you'll receive a link to test the full survey workflow. Go through it as a resident would and confirm:
- Questions appear correctly
- Required documents show in the right places
- Notifications are triggering as expected
- The workflow moves through the expected stages
Submit any feedback consolidated in one round. Revision turnaround is typically within 2 business days.
Before You Start
The Resident Portal works with Properties and homeowners stored in Salesforce using HomeKeeper data objects. Before setup begins, your HomeKeeper data should be in place.
If that data hasn't been migrated yet, Public House can help β or if you'd prefer to handle it internally, we have a Property Import Template to support that process. Either way, reach out before scheduling your Resident Portal setup so we can make sure you're ready.
Schedule
Resident Portal implementation is typically completed over a 2β3 week period. This is usually scheduled after your initial implementation is complete β though some clients move straight into it if they're ready. We'll work with your timeline.
Timeline depends on the pace of onboarding document review and feedback turnaround.
