In some cases, organizations prefer to limit lottery participation to a specific pool of households. Invitation lotteries restrict access to the lottery screening form to only those who have been directly invited.
Setup
- Once your lottery screening form has been tested, open the Lottery Screening Campaign and go to the PH Screening tab. Set Lottery Access to Invitation Only.
- Under PH Screening → Communication Templates, review and customize the Lottery Invitation email template — this is the template used for all invitation emails.
- Add the households you wish to invite as Campaign Members with Member Status = Prospect.
The easiest way to populate invitees is using a Salesforce report. Salesforce has a helpful guide on adding campaign members from reports. In summary:
- Create a report that includes the households you want to invite. Common report types include:
- Services with Applicants — to invite households with approved applications
- Campaigns with Campaign Members — to invite households who submitted a preliminary screening form
- Apply filters to include only the households you want to invite. Carefully confirm report results before proceeding.
- Save the report to access the Add to Campaign feature.
- Run the report and click Add to Campaign.
- Set Member Status = Prospect.
When a Campaign Member is added to a Lottery Screening Campaign, Public House will attempt to link the Contact to a Service File — specifically the most recent Service File with a Program that matches the Lottery Screening Campaign's Program.
Invitation Schedule
Invitation emails are sent automatically on a fixed schedule. The first email goes out on the Campaign Start Date. Reminders are then sent at 4, 3, 2, and 1 week before the End Date, and again at 4 days and 1 day before the End Date. A screening form must be submitted on or before the End Date. Email activity is logged on the Contact record.
Monitoring Responses
The Invited tab on the Lottery Screening Candidate pool shows all invited households who have not yet submitted a screening form.
Limitations
- The lottery screening form is only accessible via the invitation link — it cannot be accessed through the public screening form URL.
- Each invitation link is unique to the invitee. If the link is forwarded, the submission will be attributed to whoever completes it.
- Invitation emails follow a fixed schedule and cannot be manually triggered or adjusted.
