Fillable PDFs allow you to attach interactive PDF forms as Required Documents on an application. Applicants can open, complete, and save the form directly within their application — no downloading or uploading required.
PDF Guidelines
Before uploading a fillable PDF, make sure it meets the following requirements.
Supported format
Use standard PDF files with interactive form fields (AcroForm). PDFs exported from Adobe Acrobat, DocuSign, JotForm, or similar tools work well. Scanned PDFs or flat image-based PDFs will not have editable fields.
File size
Keep files under 10 MB for the best applicant experience. Large PDFs may be slow to open in-browser.
Supported field types
The following field types are supported and will be editable by applicants:
- Text fields (single-line and multi-line)
- Checkboxes
- Radio buttons
- Dropdown menus
- Date fields
Signature fields and calculated fields are not currently supported. If your PDF includes them, test carefully to confirm they behave as expected.
Before going live
Always test your PDF in a test application before making it live. Confirm that fields are editable, that saving works, and that reopening the document shows previously entered data.
Creating a Fillable PDF Required Document
- Navigate to Required Documents in your Public House settings.
- Create a new Required Document record.
- Set the Document Template Type to Fillable PDF.
- Open the Related tab on the record.
- In the Files section, upload your fillable PDF.
- In a test application, open the document, fill in several fields, save, and reopen to confirm that your changes were preserved.
Updating a Fillable PDF Required Document
When you need to replace a fillable PDF — for example, when a form is revised — return to the Files section of the Required Document record and upload the new version. Public House will always use the most recently uploaded file.
Unless you need to retain prior versions for archival purposes, remove outdated files to keep the record tidy.
Note: Updating the PDF does not affect applications that have already been submitted. Only applications that are still in progress will use the new version.
