Public House provides tools to make document review quick and easy. After an applicant submits their application, staff should promptly review the uploaded files.
Applicant Submission triggers:
- Service File: Application Status = Document Review
- The Service File displays on the Application Processing Dashboard under Document Review
Applicants are unable to access their applications during Document Review. If they try to log in, a message displays: Weβre Reviewing Your Supporting Documents.
Reviewing Documents
The Document Review stage is for staff to evaluate if the applicant has uploaded all the correct documents β not whether the information meets program requirements. This expedites the final review process.
Required Document Icons:
- Ready for Review
- Accepted
- Documents reviewed, Action Required
Staff must convert all Ready for Review Required Documents to either Accepted or Action Required.
Staff Instructions β Customized reminders and common pitfalls are available for each Required Document.
Viewing Documents
Click on the file name to open the document in a new tab. Staff must be logged into cloud storage via the browser. Use keyboard shortcuts to switch between tabs: Ctrl+Tab (next tab), Ctrl+Shift+Tab (previous tab).
Document Review Fields
Application information is displayed on the Required Document so staff can quickly verify consistency without digging back through the application.
Document Status Options
For each uploaded document, staff must select one of:
- Accepted β The applicant has uploaded the correct documentation
- Rejected β Incorrect documentation; provide details in Applicant Directions field
- Accepted with Action β File is correct but full requirement not met (e.g. only 2 of 3 required bank statements uploaded); provide details in Applicant Directions field
- Question β Additional information needed; provide details in the Question field
- Not Applicable β Upload is not useful/relevant; does not count against file upload limits
You must click Save to commit your changes. Use Next Document to advance to the next Required Document.
Review Complete
Once all files are reviewed, the staff action button turns blue. Select it to either submit the application back to the applicant for Document Corrections or move the status to Complete.
- All files approved β Application Status = Complete
- Files not all approved β Application Status = Document Corrections; applicant notified by email; new due date set
Declining Applications in Document Review
The Decline Application button allows staff to decline applications that are clearly ineligible without reviewing all documents. The system creates the Combined PDF appending only accepted uploads.
